Associate – Administration (Procurement)

Job Description

Primary Role of the position:

This position will follow procurement procedures as per organizational policy and processes and provide support in the procurement and distribution of goods and service including documentation and maintenance of updated list of current and incoming inventory and vendor database in a time bound and accurate manner.

 Key Accountabilities:

Carry out the following activities , same being indicative and not exhaustive:

  • Raising indents and seeking quotations with clear specifications from vendors for any purchase requirements of the organization
  • Review and analyse quotations received, preparation of Comparative Bid Analysis Sheet; carry out negotiations with vendors for best pricing and quality
  • Take part in Procurement Committee Meeting as may be required
  • Maintenance of Procurement Committee Meetings minutes; documentation of purchase orders (complete and ongoing purchases)
  • Maintain and build existing Vendor Database
  • Ensure that products / supplies are of high quality and delivered on time
  • Create and maintain good relationships with vendors/suppliers
  • Work with team members and procurement manager to complete duties as needed
  • Any other related tasks as may be assigned as per requirement

Knowledge/ Skills

 Strong knowledge and understanding of procurement processes, policy and systems and related legal / financial requirements

  • Minimum 2 years’ experience as a procurement officer or related position
  • Proficient computer skills, including Microsoft Office Suite (Word, PowerPoint, Outlook, and Excel)
  • Ability to analyse data and make professional decisions in a fast-paced environment
  • Ability to negotiate, establish, and administer contracts
  • Good verbal and written communication skills
  • Ability to multitask, prioritize, and manage time efficiently
  • Accurate and precise attention to detail
  • Ability to work well with management and staff at all levels
  • Goal-oriented, organized team player

 

Qualification / Work Experience:  Bachelor’s Degree in Humanities or business administration, accounting, or related field preferred with minimum 2 years’ experience as procurement officer or in similar role.

 

Salary:  As per organizational norms.
